We apply a stringent QHSSE approach and processes throughout our organisation, reflecting our commitment to an effective HSSE Management System to eliminate security and safety incidents and also minimise the impact in case they do occur.

EQUINOCTIAL QHSSE Management System is developed to set QHSSE standards to be complied with, within different areas appropriate to our business activities and those of our clients.

It applies the principles of ILO (International Labour Organization) health and safety standard, ISO 45001 – Occupational health and safety management systems, and ISO 14001 Environmental management systems. Its purpose is to:

System (QSSMS) and in providing very reliable surveillance and monitoring of our clients assets throughout.

To achieve high quality standards we shall:

  • Strictly follow our quality, safety, and security management system, which is built alongside our vision and core values, maintaining high global standards as per ISO 9001 and ISO 27001 guidelines.
  • Continuously monitor, audit, and review our procedures to improve our processes in line with our quality and safety management system.
  • Further improve the quality of our services by actively seeking feedback from our clients to suit their ever-changing needs and circumstances.
  • If there is a need to change a process based on client feedback or periodic audits and reviews, it shall be documented, approved, and incorporated within the system, and implemented gradually to ensure a smooth transition.
  • This policy shall be reviewed annually, and changes will be made if required, to match the quality and standards as per prevailing industry requirements.

We at Equinoctial Security Surveillance consider our workforce as our assets. They are the ones who monitor all facilities of our clients and the first, to see any abnormality/ threat within the facilities, health and safety of people working within a facility and any potential damage to the environment. Therefore we ensure that our assets, our employees are working in a safe and healthy environment.

To effectively ensure the above we are committed to:

  • Provide them with a good working environment.
  • Ensure good ergonomics of their work space and surroundings.
  • Ensure periodical breaks during work hours to get optimal output from our employees.
  • Ensure the employees are following work ethics and procedures as mentioned in the Quality Safety and Security Management System (QSSMS).
  • Carry out tool box talks before start of a job daily and de-brief post their task for the day.
  • Encourage employees to actively participate in constructive feedback to improve the effectiveness of each individual.
  • Encourage them to be proactive in giving feedback should they find any room for improvement.
  • Motivate them by giving them incentives on achieving and or reporting an incident.
  • Train the employees. Refresh their knowledge periodically and ensure upgrading them as and when there is a new technology or advancement of any system they are working with. This will ensure that our clients are satisfied and will increase their confidence in our organisation.
  • Carry out e-learnings for employees for them to know how to maintain health and safety culture at work place.

Protecting the environment and reducing the carbon footprint is the responsibility of every individual working for Equinoctial Security Surveillance. We always encourage to adopt means and procedures of our operations that will minimise the carbon footprint and damage to the environment.

To achieve this we are committed to:

  • Using less paper for the tasks that can be done on e-systems.
  • Encourage clients to use existing systems already installed within their facility unless it is inevitable to use and or change the existing system/equipment. This also eliminates the extra cost should the clients use new equipment’s. Ensure that our spaces are energy efficient and are also complying to the rules and regulations that are prevalent in our region.
  • Generate less garbage and segregate all garbage as per the norms of the local authority.

  • Minimizing Equinoctial Security Surveillance’s™ risk of a cyber security breach by taking active measures to identify, protect, detect, respond, and recover from any potential or actual cyber security threats and/or events and safeguard the clients data.
  • Continuous improvement of security-related performance through valid security procedures, ensuring a commitment to maintain full compliance with company policy and governmental laws and regulations.
  • Working with local, state, national and international agencies and industry groups in maintaining economically feasible and auditable security-related policies and procedures that meet the minimum standards and requirements.
  • Confidentiality of information is protected from unauthorised disclosure.
  • Integrity of the information is accurate and complete.
  • Availability of information when needed by clients and/or regulatory authorities.
  • Thorough background checks are carried out of all employees and all are in good standing.
  • Strict procedures in place for employees with regards to the work requirements and carriage of any electronic gadgets within a surveillance control room.

Managers and supervisors have the fundamental duty to ensure employees are appropriately informed of the security issues affecting them and their operations. Specific procedures for achieving adherence to these goals are critical. Every employee is encouraged to inform management promptly of any deviation from these policies and procedures to assure we remain in compliance with existing rules and regulations.

At Equinoctial security surveillance, we are committed to protecting the privacy and security of all individuals whose data is captured through our CCTV surveillance systems. We work closely along the lines of and guidelines as per the Digital Personal Data Protection Act, 2023 (India) and follow international best practices, including GDPR-aligned principles.

Our CCTV systems capture video footage only for security, safety, incident management, and lawful compliance.
We do not use CCTV data for marketing, profiling, or any unrelated purpose.

Footage is stored securely, accessible only to authorized personnel, and retained only for the legally required period.
We may share footage only with law enforcement, regulatory authorities, or authorized service providers under strict confidentiality.

Data Protection & CCTV Surveillance Policy

Equinoctial security surveillance ensures secure handling of all CCTV footage collected while providing surveillance services to the client. This includes compliance with:

  • Digital Personal Data Protection Act, 2023 (India)
  • Industry best practices and global privacy standards
  1. Purpose of Data Processing

CCTV data is collected strictly for:

  • Premises security
  • Crime detection
  • Incident verification
  • Regulatory compliance
  • As required by the client for safety purposes

2.Data Ownership

The client owns all footage collected on their premises unless otherwise agreed.
The company acts as a data processor / data fiduciary (depending on service model).

3.Data Security Measures

We implement:

  • Restricted access controls
  • Encrypted storage (where supported)
  • Role-based user permissions
  • Secure transmission methods
  • Detailed access logs

4.Retention & Deletion

CCTV footage is retained for a period as required by the client.
After the retention period, footage is securely deleted or overwritten.

5.Data Sharing

We do not share footage with third parties except:

  • Law enforcement with lawful orders
  • Authorized service partners under confidentiality agreements
  • Client-approved entities

6.Incident Reporting

Any data breach or unauthorized access will be reported to the client in real time or as agreed upon and mentioned in the agreement and handled according to contract terms.

7.Rights of Individuals

Upon valid requests, individuals may seek access to footage, subject to legal and operational restrictions. The company will assist the client in fulfilling such requests.

8.Compliance & Audits

The company agrees to support the client’s audit requirements related to data protection and security controls.
